They take a picture of the Outlook archive folders weekly or something like that, and I only archive once a quarter.

Side story:

over the last few months they upgraded us to Windows 7, office 2010. (always 3 years behind...but I digress). They just did accounting this week (where I sit). They are the last dept to go, and the CFO purposely asked for the upgrades to be done after all the year end work was done and filed.

So all week, I've been hearing warnings such as this as the helpdesk guys come by to each computer and scold each person for the amount of stuff on their desktops.

I have every e-mail I've not deleted either in my active mailbox or archived versions thereof.

Some of them I have to keep due to litigation.

Our company saves EVERYTHING - even a draft that you delete before saving will get picked up by them and stored - but restricts us to 100MB. But personal folders are on our hard drives and not subject to the limit, so I just set my autoarchive to shunt everyhting older than 60 days to my personal folders, and I use some rules to send certain other emails I get a lot of to those folders as well. (The company already got their copies, I'm not ducking the backup policy by doing this.)

Attachments are limited to 10 MB, but I'm not aware of any limit on the mailbox as a whole.

So, I hid most of my mails on an archive on my personal drive to get around the limit effectively. But on closer inspection of the 4500 or so emails from the last year I refused to delete, the biggest 100 were taking up about 60% of the space. So I further pulled out all emails with attachments over 5 megs into a C: archive (I don't mind if I lose them, but deleting them seems like a wast), and I could've kept 1 year's emails in under a gig after that clean up.

My place "recommends" that we don't send out emails that are larger than 2 MB although many people do anyways.

There is no limit on mailbox size - but emails automatically get deleted after 6 months unless you archive them someplace else.
